Aeries.Net Service Learning
This document is in the Aeries.net Admin category. Service Learning is a new program in Aeries.net and the Aeries.net Student Portal that allows districts to define the requirements for and track student community service hours. Students can enter Service Learner Recipient organizations and log hours online or log hours for previously approved Service Learning Organizations. Recipient organizations and logged hours can then be approved or rejected by a Service Learner Administrator.

Aeries.Net - Service Learning
Service Learning is a new program in Aeries.net and the Aeries.net Student Portal that allows districts to define the requirements for and track student community service hours. Required hours for each grade level in high school can be defined and students can be allowed to enter Service Learning Recipients organizations and log hours online or log hours for previously approved Service Learning Organizations. Recipients and logged hours are then approved or rejected by a Service Learning Administrator. Students can upload documents when logging to show proof of their hours.
Below is an example of the Aeries.net Student Portal log in.
Service Learning Security
Security permissions need to be enabled for the Service Learning Administrator and for the Portal Group of Student and/or Parent.
Access the Security, Security Users page to enable the Service Learning Administrator's permissions. Select the applicable security settings from the Service Learning options listed.
Access the Portal Groups page to enable security for Students. Parents can also be given Read access to the Service Learning permissions.
Service Learning Requirements
Service Learning Requirements need to be defined per grade level. On the Aeries.net navigation tree, access Svc Lrng Requirements under the Service Learning node. The following page will display.
Enter the required hours per grade level per year. Hours will be pro-rated for a student based on their enrollment dates when entering mid year. Hours can not be banked from year to year if the student is over the required hours, but can be made up in the next year if the student's required hours were not met.
Enter the date when Service Learning hours will begin to accumulate for that school year. This will allow any Service Learning Hours completed during the summer to be applied to the next school year's grade level. In the above example, any Service Learning Hours completed before 6/15/2013 will accumulate for the student's 2012-13 grade level. The Service Learning Hours completed on or after 6/15/2013 will be credited to the student's 2013-14 grade level in the new school year after an enrollment record with their new grade level has been created.
NOTE: If the Service Learning Start Date is left blank, the system will use July 1.
Service Learning Organizations
Students can select a pre-approved Service Learning Organization when logging hours or add a new Service Learning Recipient. The Service Learning Recipient can be reviewed and approved or denied by the Service Learning Administrator. The new Service Learning Recipient can then be linked to an existing organization.
The pre-approved Service Learning Organizations can be added by the Service Learning Administrator. On the Aeries.net navigation tree, access Svc Lrng Organizations under the Service Learning node. The following page will display.
A list of existing organizations will display on the left of the form. Use the Add button to add a new organization.
Service Learning Organizations Approval
Students can select a pre-approved Service Learning Organization when logging hours or add a new Service Learning Recipient. When a student adds a Service Learning Recipient the Service Learning Administrator can link the student's recipient organization to an existing organization, approve it and add as a new organization or deny it.
All Service Learning Recipients added by the students must be approved by the Service Learning Administrator before the student's hours can be earned.
On the Aeries.net navigation tree, access Svc Lrng Org Approval under the Service Learning node. The following page will display
If the Link to Existing Org button is selected, the following page will display. The existing approved organizations will display. To link the student's recipient organization to an existing organization, click the mouse to highlight and select an organization. The Link Selected button will be enabled.
Click the mouse on the Link Selected button to link and approve the recipient organization. A message will display as Linked and Approved.
Student Log In
When a student logs into the Aeries.net Student Portal, Service Learning and Service Learning Organizations will display on the Student Info dropdown.
The Service Learning Organizations page will display approved organizations. The student can search for approved organizations by name or by using the By City option.
When logging hours the student can add an existing approved Service Learning Organization or if the student's organization is not listed the student can access the Service Learning page to add a new recipient. The Service Learning page has 2 tabs: Service Learning Recipient and Service Learning Log.
The Service Learning Recipient tab displays the Service Learning Coordinator, the Required and Completed Hours and approved organizations on the left hand side that have been added for the student.
To add an approved organization or a new recipient, the student can click on the Add New Service Learning Recipient button on the bottom of the page. The following page will display.
The student can select an approved organization or click on the Organization Not Listed button to add a new recipient orgainization. The following message will display.
After the students clicks the mouse on the OK button the following pop up will display. The student can enter the new recipient organization and click the mouse on OK.
The following page will display for the student to complete with the recipient organizations information and enter a note in the Service Reflection field. The student can click the mouse on the Insert button to complete the record.
The Service Learning Log tab displays a log of the student's service learning entries with the status. The student can add a new entry, edit an existing entry or upload a document to an existing entry. The organizations are listed on the left side of the form. When selected, the student's activity will display on the Service Learning Log section.
To add a new service learning log entry, the student can select the organization from the list on the left side of the page to highlight it and click the mouse on the Add New Log Entry button. The following page will display.
The student can click the mouse on the Save Record button then the record will now display with a Status of Pending until the Service Learning Administrator approves or denies it.
Service Learning Approval
To approve or deny students Service Learning hours that have been entered, the Service Learning Administrator can access the Svc Lrng Approval page under the Service Learning node in the navigation tree. The following page will display with of students pending service learning hours.
To approve the service learning hours the Service Learning Administrator can click the mouse on the Approve button. To Deny the hours the Service Learning Administrator can click the mouse on the Deny button and the following page will display.
The Service Learning Administrator can enter a reason for denying the service learning hours. Both the Approve and Deny buttons will generate emails to the parents and students. The Service Learning Hours Approval form will then show the status on the page. The next time the page is accessed, only new pending records will display.
Service Learning Reports
The Service Learning Deficient Hours By Student report is available in both district and school Aeries.net. The following report options are available.
