The Teacher and Staff Data document is a part of the Aeries.net User Manual that contains easy step-by-step instructions on how to setup and maintain Teacher and Staff information.

Teacher Data

The Teachers form displays specific teacher information. This information includes an assigned teacher number, teacher name, first and last name, title, tag, room, grades taught, maximum number of students and total seats assigned.

This form will allow an Electronic Tag to be selected that will allow a teacher to enter attendance and grades. A field is available for an email address, staff ID and staff data. This form will also display all classes assigned to the teacher from the master schedule.

To Display Teacher Data

From the Navigation Tree click the mouse on the Teachers node located below School Info.

The following form will display. Use the up and down arrows or the scroll bar on the selection box to locate a teacher. Click the mouse on the Teacher selected.

The teacher can also be located by entering the teacher number or name at the top of the selection box. Click the mouse on the Go button.

The teacher selected will now display and will include all teacher data. This form will also display the classes assigned to the teacher from the master schedule.

The option is also available to change the selection box to sort either by Teacher Number or Teacher name. Click the mouse on the radio button selected to change the sort option.

Update Teacher Data

After a teacher has been selected and displayed the Teacher Data can be updated.

Click the mouse on the Change button. The form will now display in entry mode. Select the field to be updated and enter the new data, such as Staff ID.

Click the mouse on the Update button and the data will now be updated. For example the Staff ID is now 23456.

To Add a Teacher

To add a new teacher, click the mouse on the Add button. The fields on the teacher form will now be displayed in entry mode.

Click the mouse on the Tch# drop down to select an available teacher number. Enter the teacher name that will be printed on reports and press Tab to move through out the form.

Enter the first name, last name, title number and room. Type a maximum number of students per teacher. Enter CBEDS or NCLB Core if required.

Click the mouse on the Electronic Tag drop down listing. Click the mouse on the selection and press Tab. Enter an email address, Staff ID, Staff Info and photo file number.

When complete click the mouse on the Insert button. The form will now display the new Teacher. The Teacher Number and Name will also now display in the selection box on the far left.

To Delete a Teacher

A Teacher can only be deleted if there is no reference in the database for the teacher number selected. For example, a teacher cannot be deleted if a section has been assigned in the SMS or MST. Use the Selection box to select and display the Teacher.

If there is no reference to the Teacher the Delete button will display. Click the mouse on the Delete button.

The following message will display. Click the mouse on the OK button. The Teacher will be deleted and will no longer display in the Selection box.

Staff Data

The Staff form is used to enter required information about each staff member at the school site.

There are five tabs containing various information:

  • Other Demographics - contains additional staff member information.
  • Job Assignments - contains each staff member classification.
  • Credentials - contains each staff member credentials.
  • Assignments - contains each staff member assignments.
  • Highly Qualified Teacher Status - contains subject matter and status.


NOTE: The fields displaying a drop down arrow have Required Codes used for CBEDS reporting.

To Display Staff Data

From the Navigation Tree click the mouse on the Staff node located below School Info.

The following form will display. Locate a staff member in the selection box to the left. Click the mouse on the Staff selected.

The staff can also be located by entering the staff number or name at the top of the selection box. Click the mouse on the Go button.

The staff member selected will now display and will include all staff data.

Update Staff Data

After a staff member has been selected and displayed the Staff Data can be updated. Click the mouse on the Change button. The form will now display in entry mode. Select the field to be updated and enter the new data, such as, Last Name.

Click the mouse on the Update button and the data will now be updated. For example the Last Name is now Blakewell instead of Blakwell.

To Add a Staff Member

To add a new staff member, click the mouse on the Add button. The fields on the Staff form will now be displayed in entry mode.

Enter the assigned Staff ID. A drop down will display with all currently assigned Staff ID numbers and cannot be used.

If an assigned number is selected the following message will display.

When all data has been entered click the mouse on the Insert button. The form will now display the new Staff member. The Staff ID and Name will also now display in the selection box on the far left.

Additional information can be added for each Staff member which includes the Job Assignments, Credentials, Assignments and Highly Qualified Teacher Status. To add information click the mouse on the Tab selected.

Click the mouse on Add New Record the form will change to entry mode.

Enter the information selected and click the mouse on the SAVE icon.

To cancel the Add click the mouse on the Cancel icon.

To Delete a Staff Member

A Staff member can only be deleted if there is no reference in the database for the Staff ID selected. For example, if the Staff ID has been added to a teacher record in the Teacher Data form the Staff record cannot be deleted. Use the Selection box to select and display the Staff member.

NOTE:If there is a reference to the Staff member in the Teacher data the following message will display and you cannot delete the record.

If there is not reference to the Staff ID the following message will display. Click the mouse on the OK button. The Staff member will be deleted and will no longer display in the Selection box.
